About the role
Description
The Senior Executive Assistant is the CSO's right hand: the single point through which the sales organization's work, information and requests flow to and from the CSO. The role covers everything from diary and travel logistics to preparing board-level materials, chasing cross-department deliverables and representing the CSO's office with regional teams, partners and senior management.
Responsibilities
- Own the CSO's calendar end to end prioritize requests, protect focus time, resolve conflicts across time zones (Europe, LatAm, Asia)
- Screen and triage all incoming email, calls and messages; respond on the CSO's behalf where appropriate and escalate only what needs the CSO
- Plan complex international travel, visas, accommodation and itineraries, including trade shows and client visits (e.g. ICE, SiGMA, SBC events)
- Prepare the CSO for every meeting: briefing notes, background on attendees, previous discussion points, and desired outcomes
- Act as the main interface between the CSO and all sales staff, from routine requests to sensitive matters
- Run the CSO's operating rhythm: weekly team-lead meetings, regional reviews, 1:1s, quarterly business reviews — agendas, minutes, decisions and action items
- Track every action item and deadline the CSO assigns; chase owners, flag slippage early and close the loop without being asked
- Coordinate with other departments (Project Implementation, Marketing, Finance, Legal, HR) to unblock sales deals and internal requests
- Consolidate inputs from regional team leads into reports, dashboards and presentations for senior management and the board
- Build high-quality decks, memos and summaries in English (and other languages as needed) that are ready to send without rework
- Maintain trackers for pipeline updates, priority-country plans, partner status and team KPIs
- Do first-pass research on markets, competitors, prospects and regulation when the CSO needs a quick view
- Lead or coordinate special projects on the CSO's behalf: market-entry preparation, sales kick-offs, offsites, partner events
- Represent the CSO's office in internal meetings and with external partners when the CSO is unavailable
- Handle confidential information (contracts, compensation, strategy, personnel matters) with complete discretion
- Continuously improving how the CSO's office works: templates, processes, tools and automation
Requirements
- 5–7+ years as Executive Assistant, Chief of Staff or Office Manager to a C-level executive, ideally CSO, CCO, CEO or Managing Director
- Experience in a fast-paced international company; B2B tech, SaaS, iGaming or fintech is a strong advantage
- Track record of supporting a leader who manages multiple teams across regions and time zones
- Bachelor's degree in business, languages, international relations or a related field; a master's is a plus
- Fluency in English (C1–C2, business-level written and spoken), Russian, and Armenian is required; proficiency in Spanish, Portuguese, or other European or Asian languages is considered an advantage
- Excellent writing: produces clear emails, memos and executive summaries that need no editing
- Advanced MS Office / Google Workspace, especially PowerPoint and Excel (pivot tables, trackers, basic dashboards)
- Comfortable with CRM and collaboration tools (e.g. Salesforce or HubSpot, Jira, Slack/Teams, Notion) and with AI assistants to speed up work
- Strong project management: runs several workstreams at once and keeps every deadline visible
- Understanding of sales processes, pipelines and commercial terminology
