Summary of Position
The Payer Relations Specialist serves as Espire Dental's primary liaison with dental insurance carriers and third-party payers. This role is responsible for developing and maintaining productive payer relationships, supporting contract negotiations and evaluations, monitoring reimbursement trends, resolving escalated payer issues, and advocating for fair and competitive reimbursement across the organization.
Working closely with Revenue Cycle, Operations, Credentialing, Finance, and Practice teams, the Payer Relations Specialist helps optimize payer performance while supporting Espire's goals of patient access, revenue integrity, and practice profitability. The role identifies reimbursement opportunities, addresses systemic payer issues, and supports strategic network participation decisions. Success requires strong analytical judgment, relationship management, dental revenue cycle knowledge, and disciplined follow-through.
Essential Duties and Key Accountabilities
1. Payer Relationship Management
- Serve as the primary day-to-day contact for assigned dental insurance carriers, third-party administrators, and payer representatives.
- Build productive relationships with payer contacts to improve communication, accountability, and issue resolution.
- Maintain current payer contact information, escalation pathways, meeting notes, commitments, and follow-up items.
- Represent Espire professionally in payer meetings, business reviews, and issue-resolution discussions.
2. Contract Strategy and Evaluation
- Support the review of payer agreements, amendments, participation requirements, reimbursement terms, and fee schedules.
- Prepare analyses and supporting materials for contract discussions, renewals, and negotiation strategy.
- Identify material contract terms, operational requirements, risks, and opportunities for review by Revenue Cycle, Finance, Operations, and leadership.
- Maintain an organized contract inventory and track renewal dates, notice periods, rate changes, and outstanding payer commitments.
- Support network participation assessments using reimbursement, access, operational impact, and strategic fit.
3. Reimbursement Optimization
- Analyze fee schedules, reimbursement trends, procedure-level payment patterns, and payer performance to identify improvement opportunities.
- Compare contracted reimbursement with actual payments and escalate material variances or recurring underpayments.
- Support requests for fee schedule increases, contract modifications, and reimbursement corrections with clear data and business rationale.
- Partner with Finance and Revenue Cycle leadership to quantify the financial impact of proposed payer changes.
- Monitor implementation of approved rate updates and validate that payer systems reflect agreed terms.
4. Issue Resolution and Claims Escalation
- Coordinate resolution of systemic payer issues, including recurring denials, payment delays, incorrect contract loading, inconsistent claim processing, and administrative barriers.
- Distinguish isolated claim issues from broader payer patterns and route each issue to the appropriate owner.
- Create concise escalation summaries that include the issue, scope, evidence, financial or operational impact, requested resolution, owner, and deadline.
- Track payer escalations through closure and communicate status to affected stakeholders.
- Partner with Credentialing and Revenue Cycle teams to address enrollment, effective-date, network status, and provider-loading issues.
5. Reporting and Analytics
- Develop and maintain payer scorecards, contract trackers, escalation logs, and reimbursement opportunity reporting.
- Monitor metrics such as reimbursement performance, denial and underpayment trends, days to resolution, outstanding escalations, and fee schedule implementation status.
- Translate complex payer data into clear findings and recommended actions for operational and executive audiences.
- Maintain reliable documentation that supports decisions, follow-up, and accountability.
6. Cross-Functional Partnership
- Collaborate with Revenue Cycle, Credentialing, Operations, Finance, Legal, Procurement, and Practice teams on payer-related priorities.
- Provide payer guidance and timely updates to internal stakeholders while maintaining clear ownership boundaries.
- Identify workflow or documentation changes that may reduce avoidable denials and improve reimbursement accuracy.
- Support training and communication related to payer changes, contract requirements, and recurring reimbursement issues.
- Perform other duties and special projects as assigned by the Revenue Cycle Manager.
Qualifications
- Bachelor's degree in business, healthcare administration, finance, or a related field preferred; relevant experience may substitute for formal education.
- At least three years of experience in dental or healthcare payer relations, managed care contracting, revenue cycle management, reimbursement analysis, or a related discipline preferred.
- Working knowledge of dental insurance, payer contracts, fee schedules, claims processing, denials, credentialing, and provider network participation.
- Experience interpreting contract language and translating reimbursement terms into operational and financial implications.
- Intermediate to advanced Microsoft Excel skills; experience with dental practice-management, revenue-cycle, contract-management, or business-intelligence systems preferred.
- Strong written and verbal communication skills with the ability to work effectively with payer representatives and internal leaders.
- Ability to manage multiple priorities, protect confidential information, and close the loop on time-sensitive commitments.
