About the role
Position Summary
The Accounts Receivable (AR) Specialist is responsible for resolving outstanding patient and insurance balances across multiple Juniper Services locations, with a primary focus on aged and legacy accounts housed in Dentrix and Eaglesoft.
This is a hands-on collections and claims resolution role. The AR Specialist works aged accounts receivable directly — researching unpaid and underpaid claims, following up with carriers, appealing denials, contacting patients regarding outstanding balances, and posting and reconciling payments. The position supports the organization's effort to clear legacy receivables so that retired practice management systems can be decommissioned.
Because accounts span multiple locations and two legacy platforms, demonstrated proficiency and comfort working independently in both Dentrix and Eaglesoft is required.
Qualifications
Essential Duties and Responsibilities
Legacy AR Resolution — Dentrix and Eaglesoft
• Work aged patient and insurance receivables across multiple locations in Dentrix and Eaglesoft.
• Navigate both systems independently to research account history, ledger activity, treatment and claim detail.
• Prioritize accounts by aging bucket, balance size, and likelihood of recovery.
• Identify balances that are uncollectible, duplicated, or incorrectly posted and process the appropriate adjustment, write-off, or correction per company policy.
• Document all account activity clearly and consistently so account status is visible to management and auditable after the fact.
• Support the reconciliation and eventual migration or retirement of legacy system balances.
Insurance Follow-Up and Claim Resolution
• Follow up on unpaid, underpaid, denied, and pending insurance claims with commercial, PPO, and government payers.
• Research denials, determine root cause, and take corrective action including rebilling, appeals, and submission of supporting documentation.
• Verify benefits, coordination of benefits, and claim adjudication detail as needed to resolve balances.
• Obtain and submit narratives, radiographs, chart notes, and other clinical attachments required for claim resolution.
• Track appeal deadlines and timely filing limits, and escalate accounts at risk of being lost.
• Identify recurring denial patterns and report them to AR leadership so upstream causes can be corrected.
Patient Balance Resolution
• Contact patients by phone, email, and written statement regarding past-due balances.
• Explain insurance adjudication, benefit coverage, and patient responsibility clearly and courteously.
• Establish and monitor payment arrangements within company guidelines.
• Resolve patient account disputes and billing questions, coordinating with practice locations when needed.
• Recommend accounts for external collections or write-off in accordance with company policy.
• Maintain a professional, service-oriented tone in every patient interaction, including difficult ones.
Payment Posting and Account Reconciliation
• Post insurance and patient payments, adjustments, and refunds accurately in Dentrix and Eaglesoft.
• Reconcile explanation of benefits documents, electronic remittance advice, and virtual credit card payments to posted activity.
• Research and resolve unapplied credits, misapplied payments, and credit balances.
• Identify and correct data integrity issues affecting account balances.
Reporting and Collaboration
• Generate and review AR aging reports from both systems and report progress against recovery targets.
• Provide regular status updates to AR leadership on aged balance reduction by location.
• Coordinate with practice managers, front office teams, and the billing department to obtain information needed to resolve accounts.
• Flag systemic issues — plan build errors, fee schedule problems, credentialing gaps — that are generating avoidable receivables.
Compliance
• Maintain compliance with HIPAA privacy and security requirements at all times.
• Adhere to the Fair Debt Collection Practices Act and all applicable state collection regulations.
• Protect the confidentiality of patient health and financial information.
• Support internal audits and documentation requests as needed.
Qualifications
Required
• High school diploma or equivalent.
• Demonstrated hands-on experience working accounts receivable in both Dentrix and Eaglesoft, with the ability to navigate each system independently.
• Two or more years of experience in dental or medical accounts receivable, billing, or revenue cycle.
• Working knowledge of dental insurance, including plan types, coordination of benefits, fee schedules, EOB interpretation, and the claims and appeals process.
• Experience communicating directly with patients about financial responsibility and payment arrangements.
• Strong computer skills, including Microsoft Excel.
• Strong organizational skills, attention to detail, and the ability to manage a high-volume worklist across multiple locations independently.
Preferred
• Associate degree or relevant certification.
• Experience supporting multiple practice locations or working within a dental support organization.
• Familiarity with CareStack experience supporting a practice management system conversion.
• Experience with legacy AR cleanup or system decommissioning projects.
• Knowledge of dental CDT coding.
Key Competencies
• Proficiency in Dentrix and Eaglesoft
• Insurance claims and denial resolution
• Patient communication and service recovery
• Negotiation and collections judgment
• Research, problem-solving, and persistence
• Accuracy and attention to detail
• Independent time management across competing priorities
• Confidentiality and regulatory compliance
Position Expectations
• This is a patient-facing and payer-facing role involving regular outbound phone contact.
• Responsibility spans accounts across multiple Juniper Services locations.
• Primary work is performed in legacy systems — Dentrix and Eaglesoft — rather than the current practice management platform.
• Work is largely self-directed; the specialist is expected to manage a worklist and meet recovery targets with limited day-to-day supervision.
• Collaborates with practice managers, front office staff, the billing department, and external payers as needed.
• The role does not include scheduling, registration, or front-office patient services.
Performance Measures
Performance will be evaluated based on:
• Reduction in aged accounts receivable by location and aging bucket.
• Dollars recovered against assigned targets.
• Timeliness and effectiveness of insurance follow-up and appeals.
• Accuracy of payment posting, adjustments, and account documentation.
• Resolution of unapplied credits and credit balances.
• Quality of patient interactions and resolution of billing disputes.
• Progress toward clearing legacy balances in support of system decommissioning.
